A practical way to track profit across Etsy orders

Build a consistent Etsy order-profit view from actual fees, shipping, ads, other direct costs, and COGS—without relying on a generic fee estimate.

A sale price is not the same as what remains after fees and costs. To review a product or listing, begin with order-level records, use the amounts shown in your own payment account, and apply the same cost rules each time.

Etsy’s fees can depend on the service used and the seller’s location. Its current Fees & Payments Policy and Etsy Fee Basics describe the fee categories and where sellers can review account charges. This guide does not estimate or replace those current account-specific amounts.

Start with one order

For each order or sale line, record the amounts that belong to it:

  • item revenue and shipping charged to the buyer
  • transaction, payment-processing, and any advertising or other marketplace fees shown in your account
  • the shipping label or postage cost you paid
  • product cost or COGS
  • packaging and other direct costs, if you include them in your chosen measure
  • refunds or adjustments when they occur

A useful order-level calculation is:

Order-level result = item revenue + shipping charged
                   - marketplace fees - shipping cost
                   - COGS - allocated ad cost - other direct costs

The calculation is only as complete as its inputs. Decide whether labor, general overhead, taxes, refunds, and unsold inventory are included in your business measure. Do not compare two listings if one has postage or advertising allocated and the other does not.

Keep listing totals and order results distinct

A listing may have many orders. Calculate each order consistently, then group the resulting rows by a stable product/SKU or listing reference for the time period you want to review. For orders with several products, decide how shared shipping and fees will be allocated and apply that rule consistently. Note that refunds or later fee adjustments can change a period’s total.

The example excludes any taxes, labor, general overhead, or later adjustments not shown. Use your own records and accounting method for business decisions.

Use a method you can keep current

For a few sales, a spreadsheet table may be enough. Record one sale line at a time, keep the product/SKU reference consistent, and periodically compare your own totals with the marketplace’s payment account. A formula can calculate a result, but it cannot fill in a fee, refund, or cost that was never recorded.
